For years, the worst part of my job as a board secretary wasn\u2019t sitting through the meetings. By the time the minutes were drafted and circulated, half the momentum was gone and I\u2019d lost a night I wasn\u2019t getting back.<\/p>\n\n\n\n<p>So like a lot of people, I tried the obvious shortcut. I opened a personal AI account, pasted in a summary of the board pack, and asked it to tidy up my draft minutes.<\/p>\n\n\n\n<p>It worked beautifully.<\/p>\n\n\n\n<p>It also, I later realised, may have been one of the more reckless things I\u2019d done in the role.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">The shortcut nobody warns you about<\/h2>\n\n\n\n<p>Here&#8217;s what I didn&#8217;t fully appreciate at the time: the moment I pasted that board pack into a personal premium chat, our members&#8217; information left the fund&#8217;s control entirely.<\/p>\n\n\n\n<p>It travelled to a third party&#8217;s servers.<\/p>\n\n\n\n<p>On a consumer account, such as OpenAI&#8217;s, their policy states that, at the time of writing, chat content can be used to improve its models by default unless you go into the settings and switch that off &#8211; and even then, the data has already left the building.<\/p>\n\n\n\n<p>There&#8217;s no data processing agreement in place, and no contractual right for my company to audit what happens to the content next.<\/p>\n\n\n\n<p>For someone in my seat, that\u2019s not a convenience. That\u2019s an exposure.<\/p>\n\n\n\n<p>The responsibility for keeping our data safe rests squarely on the board I support, and the board expects me to manage the risk that third parties bring in.<\/p>\n\n\n\n<p>As the person actually handling that information, pulling it into draft after draft, I\u2019m the one who moves it across that line.<\/p>\n\n\n\n<p>\u201cI used a free AI tool to write up the minutes\u201d is not an answer any board wants to give a regulator.<\/p>\n\n\n\n<p>That was the moment I started asking a different question: not only \u201cwhich AI is the smartest?\u201d but also \u201cwhere does this thing run, and who gets to see what we feed it?\u201d<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Then I found <a href=\"https:\/\/www.agendaworx.com\/?utm_source=BusinessTech&amp;utm_medium=Sponsored+Article&amp;utm_term=August+2026\" target=\"_blank\" rel=\"noreferrer noopener\">AgendaWorx.com<\/a><\/h2>\n\n\n\n<p>AgendaWorx.com, built by the South African company inSite Connect, and used by boards since 2011, was the first tool that answered that question the way a board secretary needs it answered.<\/p>\n\n\n\n<p>It does the thing I was desperate for: it takes my agenda and the meeting transcript and turns them into a professional set of minutes almost instantly.<\/p>\n\n\n\n<p>Whatever I&#8217;d built into the agenda (the tables, the background notes), it carries straight through, rewritten in the past tense so it reads like a proper record rather than a plan.<\/p>\n\n\n\n<p>I can save a minutes template too, so the things I always want included (the attendance register, the standard wording for recurring items), appear every time without me retyping them.<\/p>\n\n\n\n<p>And it doesn&#8217;t just hand me a rough draft to wrestle with.<\/p>\n\n\n\n<p>The formatting is already done for me: text and figures justified, items indented where they need to be, our logo and our colours in place.<\/p>\n\n\n\n<p>If I want to change a line, I edit it right there in an editor that works just like Word, then click save.<\/p>\n\n\n\n<p>The first time I watched it turn a two-hour meeting into a clean, circulated set of minutes before I\u2019d even finished my coffee, I felt slightly foolish for all those lost evenings.<\/p>\n\n\n\n<p>But the part that let me sleep at night was where the AI actually sits.<\/p>\n\n\n\n<p>With AgendaWorx, the AI works inside the tool&#8217;s own environment &#8211; your material isn&#8217;t shipped off to a public AI service and it isn&#8217;t handed to a third party you have no agreement with.<\/p>\n\n\n\n<p>That&#8217;s the whole difference: the data and secrets stay inside the fence, under the company&#8217;s control, instead of leaving the environment the moment you ask for help.<\/p>\n\n\n\n<p>For a POPIA-conscious board, that&#8217;s the distinction that matters.<\/p>\n\n\n\n<p>It\u2019s the difference between AI that treats your chats, responses, and documents as a guest on someone else\u2019s platform, and AI that respects the perimeter you and your board are legally bound to protect.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What I\u2019d tell any board secretary now<\/h2>\n\n\n\n<p>Here&#8217;s the test I use now, and I wish I&#8217;d used it sooner.<\/p>\n\n\n\n<p>Before I put anything into an AI tool, I ask myself one thing: would I be comfortable if this ended up somewhere outside our control?<\/p>\n\n\n\n<p>For a bit of wording I&#8217;m polishing, sure. But a board pack can hold POPI-protected personal information, or company confidential matters and commercial sensitivities that aren&#8217;t ours to expose.<\/p>\n\n\n\n<p>The moment that&#8217;s what I&#8217;m working with, the tool has to be one where the information stays inside a single, secured environment, the same place the agenda, the transcript and the minutes already live, &nbsp;rather than one where it leaves for a third party and I can&#8217;t be entirely certain where it sits afterwards.<\/p>\n\n\n\n<p>Open, consumer AI tools are fine for the low-stakes work where speed is all that matters.<\/p>\n\n\n\n<p>But anything that could harm a medical aid, retirement fund or company if it strayed, belongs on the other side of that wall.<\/p>\n\n\n\n<p><a href=\"https:\/\/www.agendaworx.com\/?utm_source=BusinessTech&amp;utm_medium=Sponsored+Article&amp;utm_term=August+2026\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>AgendaWorx.com<\/strong><\/a> is where I landed.
